Job Fair Exhibitor Guidance Notes
These notes are provided to assist employers attending any DfC or LMP JobFairs. They detail what you can expect, how to contact us if you need to, and how to get the most from your attendance.
These guidance notes have been updated for the Mid Ulster Jobs and Apprenticeships Fair, 19 November 2025.
In the event that you need to cancel your attendance, please email DfC Employer Services. If you are running late or need to cancel on the morning of the event for any reason, please let us know by contacting the DfC Employer Support Branch team on 07974 039 182. This will allow us to reserve or reallocate your stand accordingly.
General Information
Arrival and setup
Stands will be available for setup from 9.30 am. All exhibitors should be setup and at their stands 10 minutes prior to event opening.
Wifi will be available to all exhibitors. Any password required will be provided to you on the day.
Job advertising
There will be a large display board available on the day of the Job Fair for attendees to view. Exhibitors are welcome to bring along printouts of vacancies for display on this board.
Attendees
There is no specific attendee audience at this Job Fair and it is likely to attract a range of jobseekers looking for their first job, to change job, or who may not have worked for some time.
Schools are expected to attend this event. Schools are allocated an arrival time so that their attendance is staggered throughout the event.
Inclusive quiet time
An inclusive session will take place from 10.30am to 11am. During this time, a smaller audience group will have an opportunity to attend the event.
Leaving arrangements
Attendance at our Job Fairs requires that stands must be staffed and operational until the scheduled end time of 2pm. Exhibitors should not start to pack up before this time.
Your Stand
Stands will each comprise a table (minimum 4ft) and two chairs to accommodate a maximum of two members of staff. There will be space for pop-up stands behind your allocated table which should not be wider than your table.
We, nor the venue, can accept any responsibility for loss or damage in respect of any property brought or sent to the Job Fair. Please ensure you manage your belongings at all times and do not leave any valuables unattended.
At least one person should be present at your stand at all times. Should you have difficulty in ensuring this, please contact the Department in advance.
Should you wish to conduct any interviews, a suitable area can be provided.
Please note that food and drink cannot be displayed or sold at this event. It is permitted to have sweets or similar, to encourage visitors to your stand.
Get the most from the event
Engaging with attendees and discussing your vacancies with them is the most effective and inclusive way to promote your business and the opportunities you have.
You may wish to consider materials that attendees can take away, particularly where it helps them to find out more about your organisation. This can help bring people to your stand.
If you are signposting attendees to online information, particularly if using a QR code, you should consider that not everyone is familiar with this process.
Health & Safety
Please read the Evacuation Plans ahead of your attendance at the Job Fair to ensure you know what to do in case of an emergency on the day. This will be sent to you following your confirmation of stand. If you have any PEEP or dietary requirements, you should inform us within 5 working days of the event by emailing Employer Services.
If you bring any electrical equipment that will require an electrical socket, this equipment must be fully PAT tested prior to attending, unless it is less than a year old.
Hospitality
Tea, Coffee and Water will be available in the hospitality area.
Lunch will be provided for all exhibitors from 2.15pm. Alternatively, you are also welcome to bring your own packed lunch. You will be given a voucher.
Event evaluation
Four weeks after this event, the Department will contact you regarding your employment outcomes. It is vital that we gather outcomes for this event, particularly the number of jobseekers who gain employment as a result of the Job Fair, to help inform future events.
We ask that you support us by including a question on your job application platforms, including hard copies, that directly asks Jobseekers if their application was linked in any way to this Job Fair.
